Job Description

Duties and Responsibilities
  • Manage EBC conference rooms
  • Ordering and keeping stock of supplies and swag for customers
  • Tech and AV support for set up and during meetings
  • Liaison between meetings organizer and internal departments
  • Providing full time access support during meetings for anything needed
  • Manage EBC calendar
  • Keep agendas and meeting requests up do date
  • Help find alternative solutions when EBC is full
  • Communicate with catering, Executive Assistants, Sales, and Internal contacts to provide a seamless meeting experience
  • Order breakfast, drinks, lunch and snacks for meetings, help set-up catering and take down. Place special requests to accommodate food allergies or intolerances. 
  • Work with EAs to help make sure meetings have executive decks ready to go, that executives know which room and what time they are speaking within the meeting
  • Communicate with internal contacts and sales to find correct executive sponsorship, what rooms will best accommodate their needs, help put together desired PowerPoint templates, agendas and decks.
  • Set up tours in the NOC & SOC
  • Communicate with the managers of the NOC and SOC to find appropriate tour times during meetings
  • Work with meeting coordinators to decide on best time for a tour within their agenda

Housekeeping Duties
  • Clean up both conference rooms after meetings
  • Place catering equipment in catering kitchen or in the hallway
  • Make sure trashes are emptied every night by janitorial staff
  • Be aware of all electric and maintenance needs (new lightbulbs, broken switches, exposed/frayed cords)
